Ep 260: Q&A: Why Successful Firms Struggle to Innovate

There’s a difference between being busy and actually moving forward — and most firms are doing a lot of the former while calling it the latter. In this episode of The FutureProof Advisor, Shannon joins me for another round of listener questions, and the thread running through all of them is the same: how do you build real momentum inside a firm that’s already full, already stretched, and already convinced it’s making progress? The honest answer is that motion and momentum aren’t the same thing, and the gap between them is where most growth initiatives quietly die.

We get into what it actually looks like to serve multi-generational families without forcing everyone into the same communication model, how to talk to clients about AI in a way that builds trust rather than triggering legal anxiety, and why the phrase “we’ve always done it this way” is one of the most dangerous things a growing firm can say. The client communication piece is particularly worth sitting with — the firms that get this right aren’t just personalizing by preference. They’re building systems that make personalization repeatable, which is an entirely different thing.

The conversation closes on something I feel strongly about: the structural separation between running your firm and evolving it. When innovation competes with operations for the same time and attention, operations always wins. Not because anyone chose it to, but because today’s pressure always outweighs tomorrow’s opportunity. Building a deliberate explore function — separate from the daily exploit work — isn’t a luxury for large firms. It’s the only way smaller firms survive what’s coming.
